Your Quick Start Guide for Planning and Navigating Your First Annual Meeting
Maybe you are a new RBMA member or have had a membership but never have attended an RBMA meeting. RBMA is an amazing blend of education, peer-to-peer networking and a whole lot of fun.
This first-time attendee guide was created to help you get the most out of your conference. It’s a lot to take in. So, our best advice is to preview what you can expect and have a plan.
Registration, Hotel and Travel

your hotel room. Registration fees increase March 29 so save $100 from onsite fees and register before then.
is a popular location and hotel rooms go quickly. Staying at the conference hotel offers the most convenient quick access to sessions. RBMA has reserved a block of rooms at a discounted rate. The rate is available until March 12, based on availability, so don’t delay!
Make your airline reservation. American Airlines, Delta, Frontier and United Airlines service Colorado Springs. Fly into the Colorado Springs Airport (COS) or fly to Denver International Airport (DIA) in Denver and rent a car or shuttle the two-hour drive south to Colorado Springs.
Plan Your Agenda Before You Leave
You will receive an email to download the RBMA meeting app
when it is ready. Create your schedule on the app before arriving in Colorado Springs. There are over 50 sessions divided into six tracks to pick from so choices can be difficult. The key is to prioritize and have a Plan B (and C). Eliminate over scheduling by focusing on your area of interests. Sessions will be recorded so you will be able to “attend” those sessions later.
The app will also allow you to download handouts, rate sessions and connect with other attendees. You can also earn points towards your climb to Knowledge Peak
on the internal leaderboard by posting photos, checking into, or reviewing a session. The top three climbers who reach above 14,000 points will be awarded a prize at the Party at the Peak.
Even though you’ve created a schedule, all meeting registrants are welcome to attend any session and to move between sessions. A name badge is required for admission to all sessions and events.
The pre-conference sessions are a separate fee and must be requested when you register for PaRADigm. Onsite registration may be available depending on space availability.

Pack Your Suitcase
Leave the tuxedo at home. Business casual attire is both acceptable and preferred. Be comfortable! Bring a good pair of walking shoes. The conference center can be a five- or 10-minute walk depending on the location of your hotel room.
The weather in Colorado Springs can be questionable in April. Check the weather service and pack accordingly. The average high is 60 degrees and the low is 34 degrees. Bring a light jacket or sweater for the meeting rooms as these spaces trend on the cooler side you are not a polar bear!
Our receptions are themed around the outdoors and climbing Knowledge Peak, our virtual 14er. Bring your cargos and your hiking boots and feel free to wear them to the receptions. The wrap up party, Party at the Peak
will offer a peek into Colorado activities. Jeans are totally acceptable.
Allow extra space in your luggage for take-home materials, souvenirs, giveaways you pick up in the Exhibit Hall, and prizes you may win!
You’ve Arrived! Top Five Things to Do When You Arrive in Colorado Springs
Check into the hotel and drop off your suitcase in your room.
Head over to Broadmoor Hall to use the self-check-in tablets. You will be able to print out and retrieve your name badge and conference materials here. RBMA staff will be on hand to help you.
Depending on when you arrive, and if you have time, explore the area. The Garden of the Gods Tour will take place Sunday morning, April 14, 2019, at 9 a.m. Pre-registration and separate fee required. Or simply walk the grounds at The Broadmoor. Nestled in the Colorado foothills, the Broadmoor offers a peaceful, scenic environment to discover.

Start the conference by attending a Deep-Dive Session. Five sessions on Sunday afternoon are designed as interactive workshops that allow attendees extended time thinking and learning more deeply about the various topics presented.
Top Five “Must Add” Events to Include on Your Agenda
Meet Sean Swarner, our keynote speaker, after his session at the Exhibit Hall Grand Opening
. Sean will be in the Imagine Software booth #300 signing a copy of his book. Or bypass the line and have a signed copy of his book delivered to your room when you upgrade your registration to PaRADigm PLUS
Set time to visit the Exhibit Hall
. The Exhibit Hall is open in the morning for the RBMA Café
and during scheduled breaks. Snacks and beverages will be available during breaks and adult beverages and heavy appetizers will be offered during the receptions
. Play Carabiner Cache
and collect carabiners from participating exhibitors. Exchange your collected carabiners for prizes at the Party at the Peak
are held Tuesday and Wednesday. There is an option to attend a Lunch ‘N Learn session sponsored by Philips on Tuesday, April 16, if you would like to add to your knowledge base.
Stay physically fit and work off all the meals during the conference by joining colleagues for a Fun Run/Walk
on Monday morning and detox your mind, body and soul at the Get Your Zen on Yoga
session on Tuesday morning.
Lastly, celebrate your journey and Knowledge Peak climb at the wrap up evert, Party at the Peak
. Enjoy the last night in Colorado Springs at the Cheyenne Lodge located on The Broadmoor property. Shuttles will take you to the lodge where you will enjoy and experience some Colorado activities and more!
